Collection of Personal Information
We collect the following categories of personal information about Site visitors, clients, prospective clients, suppliers and other third parties:
Basic data: Name, gender, title, organization, job responsibilities, phone number, mailing address, email address, contact details and information about family life (excluding special categories of data) including family, children, hobbies and interests.
Special categories of data: in limited circumstances, where you have provided us with such information as it is necessary for a specific service we are providing to you: religious or other beliefs, racial or ethnic origin, sexual orientation, health data and details of trade union membership.
Client service data: personal information received from clients in respect of employees, customers or other individuals known to clients, invoicing details and payment history, and client feedback.
Transaction data: personal information contained in documents, correspondence or other materials provided by or relating to transactions, proceedings or other legal matters on which we are advising our clients.
Interaction data: personal information such as contact data, e-mail metadata and other technical data relating to your interactions with us.
Marketing data: Data about individual participation in conferences and in-person seminars, credentials, associations, product interests, and preferences.
Job applicant data: Data provided by job applicants or others on our Sites or offline means in connection with employment opportunities, which also may be subject to an additional relevant local recruitment privacy policy.
Device data: Computer Internet Protocol (IP) address, unique device identifier (UDID), cookies and other data linked to a device, and data about usage of our Sites (Usage Data).
Compliance data: Government identifiers, passports or other identification documents, dates of birth, beneficial ownership data, and due diligence data.
Registration data: Newsletter requests, event/seminar registrations, dietary preferences (excluding special categories of data), subscriptions, downloads, and username/passwords.
We collect personal information from a number of sources, either directly from the data subjects, or from clients, colleagues and publicly available sources. Where we receive data from clients about employees, customers or other individuals, the client is responsible for ensuring that any such data is transferred to us in compliance with applicable data protection laws.
Purposes, Legal Basis, and Use
The purposes for which we use personal information, and the legal bases for such processing, are as follows:

This processing is necessary in order to perform our obligations under our contracts with our clients (e.g. issuing and processing invoices) and suppliers (e.g. managing the supply of goods and services to us).
To make our Sites more intuitive and easy to use we use device data. It is necessary for our legitimate interests to monitor how our Sites are used to help us improve the layout and information available on our Sites and provide a better service to our Site users.
To fulfill our contractual obligations to you (or to take steps toward a potential contract, manage and develop our ongoing business relationship with you) (e.g., processing your orders, providing requested services or support, facilitating transactions, and communicating with you or your employees (if you're a client, partner, or supplier)).
To provide relevant marketing such as providing you with information about our Services that may be of interest to you including industry updates we use marketing data, basic data, special categories of data, registration data, client service data, and device data. It is necessary for our legitimate interests to process this information in order to provide you with tailored and relevant marketing, updates and invitations.
To expand and maintain our list of contacts, better understand how people use our services and improve the strength of our relationships with clients and other third parties we use basic data, interaction data and device data. It is necessary for our legitimate interests to keep your information accurate and up-to-date with the aim of improving the overall client experience and our relationship with you.
To consider individuals for employment and contractor opportunities and manage on-boarding procedures we use job applicant data and compliance data. The processing is necessary for the purposes of recruitment and on-boarding and for complying with legal obligations to which we are subject and which may be subject to a relevant local recruitment privacy policy.

To comply with a law, regulation, legal process, order of a court or by any rule of law or governmental request or address compliance and legal obligations, such as protecting the safety of any person; protecting property or the rights or property of those who use our services; preventing or detecting crime; apprehending or prosecuting offenders, complying with the tax reporting obligations, checking the identity of new clients and to prevent money laundering and/or fraud we use compliance data, basic data, registration data, transaction data, and device data. However, nothing in this Privacy Notice is intended to limit any legal defenses or objections that you may have to a third party’s, including a government’s, request to disclose your personal information. This processing is necessary for the purposes of complying with legal requirements to which we are subject.
To support the processing of personal information, we may use Artificial Intelligence ("AI") technology, subject to human oversight, for the purposes referred to in this Privacy Notice. All such AI technology is subject to robust prior screening to verify it meets applicable ethical, legal and contractual requirements including in respect of data privacy and information security. We have adopted appropriate policies and training for our personnel and trusted providers governing responsible use of AI technology to ensure that personal information remains adequately protected. The use of AI technology to make decisions affecting individuals by solely automated means (including in a recruitment context) is strictly prohibited.
To protect the security and effective functioning of our Sites and information technology systems we use basic data, registration data, transaction data, and device data. It is necessary for our legitimate interests to monitor how our Sites are used to detect and prevent fraud, other crimes and the misuse of our Sites. This helps us to ensure that you can safely use our Sites.

Marketing and Automated Technologies

Direct Marketing. You have control regarding our use of personal information for direct marketing. Exercising Data Subject Rights.
General. You may, at any time, exercise your right to decline to supply certain information while using our Sites. Please bear in mind that you, however, may not be able to access certain content or participate in some features on our Sites. If you tell us that you do not want us to use your information to make further contact with you beyond fulfilling your request, we will respect your wishes.
Marketing. You may, at any time, exercise your right to prevent us from sharing marketing materials with you by checking certain boxes on our forms, utilizing the unsubscribe or opt-out mechanisms in the emails we send you, indicating so when we call you, or complete our Request Submission Form. In such cases, we will retain minimum personal information to note that you opted out in order to avoid contacting you again.
Blogs, Messages, and Other Correspondence. If you have subscribed to one or more of our newsletters or receive information from us via email or postal mail and would like to modify or cancel these mailings, please follow the instructions in the mailing or complete our Request Submission Form. Legitimate Interest or Legal Obligation Exceptions. As outlined in Exceptions above, some of the above rights may be limited where we have an overriding legitimate interest or legal obligation to continue to process the personal information, or where the personal information may be exempt from disclosure due to applicable law.
U.S. residents of certain states
Individuals located in EEA, Canada, Switzerland, or UK
Who may make a request. Residents of the regions identified in Applicable Rights Table above or those authorized to act on their behalf may make a verifiable DSR related to their personal information. For example, an authorized representative can be a parent making a request on behalf of their child.
Note for US residents: You may only make a verifiable DSAR for access or data portability twice within a 12-month period.
How you may make a request. You or your representative have the right to exercise any of the rights applicable to you by reaching out to us using the methods indicated at the bottom of this page. Please note that these rights may be subject to certain exceptions. Once we receive and confirm your verifiable consumer request, we will carry out your request (and, when applicable, direct our service providers to do so as well), unless an exception applies. However, selecting this option may prevent you from receiving Services, receiving program or similar updates, or accessing certain Site features.
Note: Residents of the US states identified above or those duly authorized to act on their behalf may request that we not sell their personal information by clicking the “Do Not Sell My Personal Information” button below. California residents may also request that we limit our use of their sensitive personal information via our Request Submission Form. However, selecting these options may prevent you from receiving Services, receiving program or similar updates, or accessing certain Site features.
Response Timing and Format. We endeavor to respond to a verifiable consumer request within:
45 days of its receipt for residents of the US states or CAN (exclude Quebec) identified above. Any disclosures we provide will only cover the 12-month period preceding the verifiable DSR receipt.
30 days for individuals located in EEA, Quebec, Switzerland, or UK. Any disclosures we provide will cover appropriate time frames under applicable regulatory requirements.
If we require more time to respond to a DSR, we will inform you of the reason and extension period in writing before the required response time. If you have an account with us, we will deliver our written response to the registered email associated with the account. If you do not have an account with us, we will deliver our written response by mail or electronically, at your option. The response also we provide will explain the reasons we cannot comply with a request, if applicable. For data portability requests, we will select a format to provide your personal information that is readily useable and should allow you to transmit the information from one entity to another entity without hindrance.
DSAR Fees
We do not charge California, Colorado, Connecticut, Utah, Virginia, or Canada other residents a fee to process or respond to verifiable DSR unless it is excessive, repetitive, or manifestly unfounded.
We do not charge individuals located in EEA, Quebec, Switzerland, or UK a fee to process or respond to verifiable DSR unless it is excessive or manifestly unfounded to warrant a “reasonable fee” to cover our administrative costs of complying with the request
If we determine that a DSR warrants a fee, we will tell you why we made that decision and provide you with a cost estimate before completing the DSR.
Verified DSR. We cannot respond to DSRs or provide related personal information if we cannot verify your identity or authority to make the request and confirm the personal information relates to you. Making a verifiable DSR does not require you to create an account with us. We will only use personal information provided in a verifiable DSR to verify the requestor’s identity or authority to make the request.
Non-Discrimination. We will not discriminate against any individual for exercising any of their respective DSR rights. Unless permitted by law, we will not deny you the use of our Services or provide you with a different level or quality of Services.
Appeals. Where applicable law applies, you may appeal the denial of their DSR by contacting us as detailed below.
